Ledger Optic is a secure cloud platform designed for accountants and bookkeepers to manage analyse financial data, and streamline compliance workflows. From trial balance reviews to issue tracking and client queries, Ledger Optic brings structure and automation to your accounting processes.
How does Ledger Optic work?
Ledger Optic allows you to upload financial data, review trial balances, flag issues, request client clarifications, and resolve queries-all in one place. It helps accounting teams reduce manual overhead and ensures a clean review process. Your data is stored securely and accessible only by authorised users within your firm or clients you choose to collaborate with.
Privacy Questions
What data does Ledger Optic collect?
Ledger Optic collects the following types of data:
- Account and user information (e.g. name, email, firm)
- Client financial data and supporting documents
- User-generated content (flags, notes, comments, issues)
- Usage data (logins, activity logs, feature usage)
- Device metadata (browser, IP address)

Who can access my firm or client data?
Only users you've explicitly granted access-such as staff members or clients-can view or interact with your data. Ledger Optic staff cannot access your content unless required for support or legal purposes, and only under strict access controls.
Does Ledger Optic share my data with third parties?
Ledger Optic uses trusted third-party infrastructure and processing services to deliver our platform (e.g. AWS, Digital Ocean). All vendors are under strict data protection agreements. We never sell your data or use it for marketing or AI training. See our Privacy Policy for details.
Where is my data stored?
Your data is stored in data centers located in Sydney, Australia, using AWS and Digital Ocean infrastructure. Some processing may be done via secure services based in other jurisdictions, always under strong privacy safeguards and compliant with Australian and international privacy laws.
How long does Ledger Optic retain my data?
We retain data for the duration of your account being active. You can delete content at any time. If you close your account, all data is deleted or anonymised within 30 days, unless we are legally required to retain specific records.
How do I delete my data?
You can delete clients, files, or issues from your dashboard. To delete your entire account and associated data, go to Settings > Delete Account, or contact us at hello@ledgeroptic.com.
Does Ledger Optic use my data to train AI?
No. Your data is never used to train AI models, either ours or third-party systems. All processing is limited to delivering features within Ledger Optic.
Security Questions
How does Ledger Optic secure my data?
Ledger Optic applies multiple layers of security:
- End-to-end encryption (TLS 1.2+ in transit, AES-256 at rest)
- Role-based access controls
- Multi-factor authentication (MFA)
- Regular vulnerability scans and penetration tests
- Continuous monitoring and incident response
Has Ledger Optic experienced any security breaches?
As of July 2025, Ledger Optic has had no known breaches involving customer data. We maintain high security standards and continuously improve our systems.
Is Ledger Optic compliant with security standards?
Our infrastructure providers (AWS and Digital Ocean) are SOC 2, ISO 27001, and PCI-DSS certified. Ledger Optic follows best practices aligned with these standards.
What happens if there is a data breach?
In the unlikely event of a breach:

- Notify affected customers within 72 hours

What are the legal requirements for uploading client data?
You are responsible for obtaining the necessary client consents to upload or share financial data within Ledger Optic. This includes ensuring you're compliant with client confidentiality and any applicable professional standards.
AI & Automation Questions
Does Ledger Optic use AI?
Yes, we use AI to assist with issue detection, flag recommendations, and summarising client queries. All AI processing is designed to assist not replace human judgment.
Does Ledger Optic use my data to improve its AI?
No. All AI features operate on a per-account basis. Your data is not used to train shared or external models.
Account & Billing Questions
How do I change my subscription plan?
Go to Settings > Billing to upgrade, downgrade, or cancel your plan. Changes take effect at the start of your next billing period.
What happens to my data if I cancel my subscription?
You’ll retain read-only access for 30 days. After that, your data will be deleted in accordance with our retention policy. You can export your data at any time.
Does Ledger Optic offer refunds?

Enterprise & Integration Questions
Does Ledger Optic offer enterprise plans?

Can I get a Data Processing Agreement (DPA) for my firm?

Does Ledger Optic integrate with other platforms?
Currently, all integrations are done by manually uploading data.
